Sharing a template with the world

3 min read

You can share a template you made, so any Rebrief clinic can find it and copy it. You can also copy a template another clinic shared. Sharing publishes a checked copy, never anything from a patient or an appointment.

Share a template

From the template's editor:

  1. In Templates, select the template to open it.
  2. Under Who can use it, choose Community.
  3. Rebrief asks Share with the community? Press Share.

If you have unsaved changes, Rebrief saves them first.

From the library, press the share button on the template's row. Or open the row's ⋯ menu, choose Visibility, then Everyone.

You can share a template you made. A clinic admin can share any of the clinic's templates. A new template has to be saved before you can share it. Rebrief's own templates are already open to every clinic, so they can't be shared again.

Once it's shared

  • The template appears under Browse community for every clinic.
  • It also gets its own public web page, which opens for anyone, signed in or not.
  • In the library, its row reads Everyone, and the share button copies the page's link.
  • In the editor, See it on the community page opens that page.
  • When other clinics copy it, the row shows how many have used it.

What gets published

Sharing publishes a copy of the template as it is at that moment.

  • For a note or document template, that's its name and text.
  • For a form, that's the blank form and what Rebrief writes in each blank. It's never a filled-in copy.
  • The page shows your name as the person who shared it.

Nothing from a patient, a note or an appointment is ever part of it.

Your later edits don't change the public copy. To publish an update, switch Who can use it to My clinic, then back to Community. The page keeps the same web address.

The privacy check

Before anything is published, Rebrief checks the template for anything that looks like patient information:

  • a date;
  • a phone number;
  • an email address;
  • a person's name with a title, like "Mr." or "Dr."

If it finds one, nothing is published. Rebrief tells you what it found, for example "we found a date and a phone number". Take it out and share again.

Placeholders like [Patient name] pass the check. Use them for the parts that would name someone.

Note: A newly shared page is kept out of search engines for its first day. That gives you time to stop sharing before search engines can list it.

Use a template another clinic shared

  1. In Templates, press Browse community.
  2. Find a template. You can search, or use the All, Notes, Docs and Forms tabs.
  3. Press Use this template.

A copy lands in your library, and it's yours to change. The original doesn't change. If its author changes theirs later, your copy stays as it is.

A shared template's public page has a Use this template button too.

Stop sharing

In the editor, choose My clinic or Only me under Who can use it. In the library, choose Your clinic or Just me under Visibility.

The public page comes down at once, and its address stops working. Copies other clinics already made stay theirs.

Deleting a shared template also takes its page down.

Rebrief can take a shared page down if it has to. That never touches your own template. A template Rebrief took down can't be shared again.
