Copying the note or sending it to your practice software

4 min readFor clinical staff

When the note is ready, there are three ways to get it into your records. Copy it and paste it into your chart. Download it as a PDF on your clinic's letterhead. Or have Rebrief send it into your practice software for you. The note and the chart leave through Export, and the other tabs have buttons of their own.

The Export menu

Export is a button at the end of the tab row, after + Create. It acts on a note and on the chart.

It uses the note tab you're on. From any other tab, it uses the Note tab.

This note

  • Copy text puts the note's plain text on your clipboard. Paste it into your practice software.
  • PDF on letterhead downloads the note as a PDF.

On a note written on one of your templates, this part of the menu carries the note's name.

Both wait until the appointment has ended. Until then the menu says "End the appointment first — the note is still being written." Right after End, it says "The note is being polished — one moment."

Odontogram

  • Copy image copies the tooth chart and perio chart as a picture.
  • PDF puts that picture on your letterhead.

These work at any time, even during the appointment.

Sending to your practice software

Clinics connect their practice software to Rebrief through the Windows app, the Rebrief app installed on a clinic computer. In the Windows app, on plans that connect to practice software, Export has one more part. Its heading names your practice software once Rebrief finds it on this computer.

  • This note types the note into the patient's chart in your practice software.
  • The perio-odontogram charts the tooth chart and perio chart there.
  • Both does the two with one confirmation.
  • Every note sends each of the appointment's notes in turn. It shows once the appointment has more than one note.

This note starts as soon as you pick it. The chart rows first show what can be charted, such as "12 chartable · 2 to note". Nothing is charted until you select Confirm.

These rows also wait until the appointment has ended. Your practice software needs to be open on this computer.

If no patient is linked, the menu shows Link the patient first. It opens the patient's name at the top of the screen.

While it sends

Rebrief works in your practice software on this computer's screen. It can take a minute or two. Its progress shows on a card in a chat, step by step, with a Stop button. Pressing Esc on this computer stops it too.

If you stop it, the card asks why, with I changed my mind and Something was going wrong. You can leave that question unanswered.

Some findings may have no place in your practice software's chart. Rebrief then asks on the card whether to write those findings as a note there. Choose Write them as a note or Chart only. If nobody answers, it charts only.

One send runs at a time on a computer.

Asking in the prompt bar

With the appointment on screen, you can also ask in the prompt bar.

  • "send my note to the practice software" sends the note right away.
  • "send the chart to the practice software" first says what can be charted. Answer yes to go ahead.
  • "send the note and the chart to the practice software" works the same way.
  • "push only the chart to the practice software" leaves out the findings it can't chart, without asking.

Copy and PDF on the other tabs

  • The Transcript tab and dictation pads have a copy button and a PDF button at the right of their bar.
  • A document has Copy the text and PDF under Send it on.
  • An AfterCare™ summary has Copy and PDF at the top.
  • A filled form has Copy the answers. When Rebrief wrote the answers onto the form, it also has Download the filled PDF.

On a phone, the Note tab has Copy note and a PDF button on the bar at the bottom.

What a PDF looks like

Each letterhead PDF is made fresh when you click, from what is on screen. Your corrections are in it. Download the filled PDF is different, because it gives you the filled form itself.

  • Your clinic's name is at the top, with the appointment's date on the right.
  • The title and the patient line come next, then the text or the chart picture.
  • Each page ends with its page number and "Made with Rebrief".

A long note runs onto as many pages as it needs. The page is white, so it prints well.

Sending something to a patient

Copy and PDF are for you. To send something to a patient, use Share by email on a document, or Share on an AfterCare™ summary. Either one sends a password-protected link, not an attachment.

If something goes wrong

  • If Copy image says the chart image isn't ready, press it again or use PDF.
  • If your browser won't put an image on the clipboard, use PDF instead.
  • If a PDF can't be made, a message says why.
