Starting an appointment

4 min readFor clinical staff

Starting an appointment opens the appointment page. Rebrief transcribes with this computer's mic and writes the note while you work.

Ways to start

Use whichever is closest.

  • On the Scribe page, select Start an appointment. It's the big button at the top.
  • Under Up next on today's schedule, on the Scribe page, select Start beside a booked patient.
  • On Home, select New appointment. It's the row under New chat.
  • In the left rail, select New Appointment, the + button below the areas. It works from any page.
  • On a patient's page, select + New appointment. The appointment starts linked to that patient.
  • On Home's calendar, point at a booking and select Start appointment. You can also click the booking, then select Start appointment.
  • On a phone, tap the floating New appointment button.

You can also ask in the prompt bar, for example "Start an appointment".

Up next, Home's calendar and patient pages come with plans that connect to your practice software.

Starting a booked patient

A booking you start from Up next or the calendar starts linked to that patient when Rebrief is sure who it is. When it isn't sure, the appointment opens with the patient's name box ready for you. Rebrief never guesses.

Up next shows the next two patients still to come today. A visit stays there for 30 minutes after its booked time. Once today is done, it shows the next day's first patients, under a heading such as Up next tomorrow. Those have no Start until their day.

Prep my day can make the day's appointments ahead of time, from your schedule. If it made one for a visit, Start uses that appointment. It never makes a second one.

An appointment started any other way has no patient yet. The name line reads Add the patient's name. Click it and type the name.

What happens next

  1. Rebrief makes the appointment and its note.
  2. The appointment page opens on the Note tab.
  3. A soft chime plays, and Rebrief starts transcribing.
  4. The note starts blank and fills in as you talk.

Until the first words land, the note reads Transcribing. You can type in it at any time. Your changes are kept.

On a phone, a bar may ask you to Tap to start transcribing. Tap it once.

How to tell Rebrief is transcribing

A status line sits at the top centre of the page, just under the bar along the top of the window.

  • It reads Started and the time, such as Started 2:12 pm. End sits beside it.
  • To its right, a count shows how long it has run, such as 4 min elapsed.
  • At the far right, the mic button shows which mic is in use. Click it to pick another one. The transcript keeps going.
  • While people talk, a saffron glow along the top edge moves with their voices.

The Note tab shows a small mic while Rebrief writes into it.

On a phone, End sits in the bar at the bottom of the screen.

One appointment at a time on each computer

Each computer transcribes one appointment at a time. If one is already transcribing here, every new appointment button opens that one instead. End it first, then start the next one.

While one is transcribing, the Scribe page's big button reads Back to and the patient's name, with a running clock.

If the other appointment stopped without End, Rebrief ends it for you and starts the new one. Its note is finished as usual.

If you open a different appointment while one is transcribing here, its status reads Transcribing elsewhere.

  • Back to it takes you to the appointment that's running.
  • Transcribe here ends that one and starts transcribing this one.

When the Windows app offers to start

Clinics connect their practice software to Rebrief through the Windows app, the Rebrief app installed on a clinic computer. On a computer with the Windows app, Rebrief can offer to start for you. When a conversation starts in the room and no appointment is running, it asks Start this appointment?

  • Start appointment starts it now.
  • Not an appointment lets it go.
  • Remind me in 5 minutes asks again later.

If nobody answers, the appointment starts by itself after a short countdown.

This is Auto-start, in Settings › This computer. It's on unless someone switched it off. Switch it off on front desk computers.

If transcribing doesn't start

The status line says why, with Resume to try again and End. For example, it reads Monthly limit reached when your plan's transcription for the month is used up.
