Making documents, forms and aftercare sheets

3 min readFor clinical staff

You can write a document from an appointment without leaving it. Referrals, prescriptions and other letters all work this way. So do filled forms and AfterCare™ summaries, the post-visit instructions for the patient. You can then copy it, make a PDF, or send it to the patient as a password-protected link.

Writing a document during the appointment

  1. Select + Create, the button just after the tabs, then choose Document.
  2. Pick a template. Or choose Open the document studio and pick one there.
  3. The document opens as its own tab. On a computer or tablet, the chart stays beside it.
  4. If you like, add notes for Rebrief under Anything to add?, such as "keep it to one page".
  5. Select Generate.

Rebrief writes it from the appointment's note and transcript. Written from shows what it has to work with. Blanks the appointment can't answer are left for you to fill.

Suggested documents

Rebrief may also offer a document under Suggested for this appointment. An amoxicillin prescription is one example, once one was decided. Clicking it opens a tab on the template that fits and writes the document at once. The suggestion's reason goes under Anything to add?, so Regenerate keeps it. When no template fits, Rebrief writes it from the appointment alone.

Finishing it

Once it's written, edit the text right on the page. Corrections save on their own.

To have Rebrief rewrite it, type a direction in the box above the page, such as "address it to Dr Vora". Then select Regenerate. This writes a new version, so corrections you typed on the page are replaced.

Under Send it on, you can do these things.

  • Share by email sends a password-protected link.
  • Copy the text puts it on your clipboard.
  • PDF makes a page on your clinic's letterhead.
  • Open in Documents opens the full editor in a new window.

Make another starts a new document in the same tab.

Forms

  1. Select + Create and choose Form.
  2. Pick a saved form. For a form you haven't saved yet, choose Upload a new form.
  3. Select Fill it in.

A filled form offers Copy the answers, Share by email and Open in Documents. When Rebrief writes the answers onto the form itself, it also offers Download the filled PDF and Print. That works for a photo of a paper form too. Print opens the filled PDF so you can print it.

AfterCare™ summaries

  1. Select + Create and choose AfterCare™ summary.
  2. Select Generate.

A summary offers Share, Copy and PDF.

Closing and removing

Closing a document's tab keeps the document. To delete it, open the ⋯ menu at the top right of its page and choose Remove. Remove deletes it right away, without asking.

Finding documents later

Documents stay with their appointment. Open the appointment again and their tabs are back in the row.

Open in Documents shows a document on a page of its own. There you can edit the text. On a computer, select some text to use the AI editing tools. Send shares it. Delete removes it for good, after asking you first. A filled form with a filled PDF also offers Download filled PDF.

Back to Documents lists your clinic's documents. You can search them, choose a time range and change the sort order.

Sending it to a patient

Share by email opens the share window. So does Send on a document's own page.

  1. Enter the patient's email address.
  2. Set a password for the link.
  3. Tick Send me a copy (CC) if you want a copy.
  4. Select Send.

The patient gets a link to a read-only view. They open it with their email address and the password. Changes you make later show up there too. For a filled form, the link shows the answers, not the PDF.

Give the patient the password another way, such as by phone. By sending, you confirm you may share it with them.
