The appointment page

5 min readFor clinical staff

The appointment page is where you run a visit. Rebrief writes the note from what is said and charts the findings you name. This tour goes from the top of the page down, as it looks on a computer or tablet. The phone comes last.

The status line at the top

At the top centre, just under the bar along the top of the window, a status line shows where the appointment stands. It reads left to right: what is happening, its buttons, a count, and the mic button.

  • Started and a time, such as Started 2:12 pm, with End. Rebrief is transcribing. The count shows how long, such as 4 min elapsed.
  • No audio detected, with End and Still here. Nobody has spoken for 3 minutes. The count shows when the appointment ends by itself, such as Ending in 2:59. Say anything, or select Still here, to carry on.
  • Check mic input. Sound isn't reaching Rebrief properly. Use the mic button to pick another mic.
  • Stopped and a time, with Resume and End. Transcribing stopped without End. The appointment ends by itself 10 minutes later unless you select Resume. Typing or clicking on its page restarts that clock.
  • Monthly limit reached or Scribe stopped, with Resume and End. Transcribing couldn't start or keep going, and the status says why. Resume tries again.
  • Refining note. You pressed End and Rebrief is finishing the note. Right after End, the count may show how much of the last stretch of audio is saved, such as 62% saved.
  • Note ready, with a check. The finished note is on screen. This stays until you move the mouse, click or type.
  • Ended and a time, with Resume. The appointment is over. The count shows how long it was transcribed, such as 18 min transcribed.
  • Transcribing elsewhere, with Back to it and Transcribe here. Another appointment is transcribing on this computer. Transcribe here ends that one and starts this one.
  • Another appointment open, with the same two buttons. Another appointment on this computer stopped without End.
  • Transcribing on and a computer's name, such as Transcribing on Operatory 2. This appointment is being transcribed on another computer. It has no buttons here. End it on that computer.

While Rebrief transcribes, a saffron glow along the top edge moves with the voices in the room.

The mic button at the far right lists your mics. Pick one to switch. The transcript keeps going, and this computer remembers your choice.

The patient line

  • The patient's name is on the left. Click it to edit it. Enter saves the name and Escape puts the old one back. With no patient yet, it reads Add the patient's name.
  • A short line under the name shows the age, sex and date. When known, it also shows which computer transcribed it, what was booked and your practice software.
  • On the right, while Rebrief is working, a small counter shows the credits used just now and how many are left this month.

Adding a date of birth

  1. Click the age, or Add date of birth when there is none.
  2. Type the date in the field that opens. Forms like 1986-11-02 and 2 Nov 1986 both work.
  3. Or pick the day in the calendar under the field. Click the month's name to choose the year.
  4. Press Enter to save it, or Escape to cancel.

The tabs

A row of tabs runs under the patient line. Transcript comes first, then Note. Anything else the appointment makes gets a tab after them, and Evidence and Tasks tabs can follow. + Create and Export are buttons at the end of the row. The tabs have an article of their own.

The note and the chart

Below the tabs, the page splits into two columns.

  • The left column shows the tab you chose. That might be the note, the transcript or a document.
  • The right column always shows the tooth chart and the perio chart.

On a computer, drag the line between the columns to resize them. You can also move to the line with the Tab key and use the left and right arrow keys.

As you talk, the note fills in on the left. Findings you say with a tooth number go on the chart on the right.

The prompt bar and suggested questions

The prompt bar sits in the bar along the top of the window. Press Ctrl+K (⌘K on a Mac) to jump to it from anywhere.

While Rebrief transcribes, it may suggest questions from what is being said. They show as chips beside the prompt bar. Click one to see its answer. The chips stay after End, until you leave the appointment page.

Ending and resuming

Press End when the visit is over. The status reads Refining note, then Note ready. Ending an appointment has its own article.

Once the appointment is over, Resume takes the place of End. You can resume any appointment, at any time. Rebrief adds to the same note, and the next End finishes it again.

On a phone

A phone shows one column. Its tabs start with Note and Transcript. Plans that include the chart add Chart.

There is no status line at the top. The bar at the bottom of the screen holds End while Rebrief transcribes, and Resume when it doesn't. Under that sit undo and redo, the save status, Copy note and a PDF button.
