Subscription & billing

4 min readFor administrators

Your Rebrief plan sets how many minutes and agent credits your clinic gets each month. Every paid plan is the whole platform inside your PMS — an upgrade buys volume, never features. This article covers comparing plans, paying, changing plans, cancelling, and what happens if a payment doesn't go through.

The plans

Open the plans page to compare your options: from Settings, choose Plan & billing and click Upgrade plan. The page shows the same four plans as rebrief.ai/pricing, with your clinic's current plan marked Your plan. Professional and Enterprise carry an Annual / Monthly control on their cards; annual pricing is shown first.

  • Starter — free forever, no credit card. The scribe and charting in the Rebrief web app: ambient clinical notes with 200 minutes a month (about 5 recorded appointments a week) plus 200 agent credits a month that pay for the Evidence agent and for generating documents and AfterCare™ summaries, voice charting with perio and restorative, and cited evidence answers chairside. No PMS connection.
  • Essentials — $39 CAD per clinic per month, billed monthly. The whole platform at entry volume: works inside your existing PMS, 900 minutes a month (about 20 recorded appointments a week), 400 agent credits a month, document and patient-summary generation, Rebrief Vision (X-ray analysis and smile simulation), PracticeShield™ (automated college-complaint defence) and CareGuard™ (automated patient care alerts).
  • Professional — $149 CAD per clinic per month billed annually ($1,788 a year), or $179 billed monthly. Everything in Essentials with 6,000 minutes a month (about 140 recorded appointments a week), 1,500 agent credits a month, priority support, and a 30-day money-back guarantee.
  • Enterprise — a $500 per month platform base plus $100 per seat per month, billed annually ($625 plus $125 per seat on monthly billing). Unlimited minutes, 5,000 agent credits a month plus 1,000 more per seat, team licensing, dedicated support and custom features. Priced per organization and set up with our team.

Prices are in Canadian dollars, before tax. Minutes and agent credits reset monthly and do not roll over. Below the cards, the Compare plans table lists what each plan includes, row by row.

Agent credits

Agent credits are the monthly allowance that pays your agents. Minutes cover the scribe — the part that listens and writes the note; agent credits cover everything the agents do: Evidence answers, generating documents and AfterCare™ summaries, PracticeShield™ (automated college-complaint defence), CareGuard™ (automated patient care alerts), the AI receptionist, and the agents that work inside your PMS. Every plan has agents: on Starter they are Evidence and document/AfterCare generation. As a guide, an Evidence answer typically uses 5–15 credits, an agent task 10–25, and a receptionist call 5–10. Failed runs and teaching sessions are free — you are only charged for AI work that lands.

You can watch credits in two places: the live counter that appears in the corner while AI work is running, and Settings → Plan & billing → Agent credits used this period. We warn you at 70% and 90% of your allowance. At the cap, background agents (monitoring scans, suggestions) pause until your period renews, while work you started by hand is given room to finish gracefully. A patient call in progress is never cut off. Credits reset monthly and do not roll over.

Upgrading and paying

To move to Essentials or Professional:

  1. On the plans page, pick Annual or Monthly on the Professional card (Essentials is billed monthly).
  2. Click Upgrade to Professional (or Upgrade to Essentials).
  3. You're taken to a secure Stripe checkout page with your email already filled in. Enter your card details and confirm.
  4. You land back on the plans page, which confirms your payment and marks the new card Your plan. Your new minutes apply right away.

Note: Checkout and card processing happen on Stripe's secure payment page, not inside Rebrief. Rebrief never sees or stores your full card number — only the last four digits, so you can recognize the card on file.

If your clinic already has a paid subscription and you upgrade — for example from Essentials to Professional — the change applies immediately on your existing subscription, and the prorated difference is charged to your card on file. There is never a second subscription.

For Enterprise, click Contact sales. A short form opens where you enter a contact email and a message, and our team follows up about seats, rollout and pricing.

Only the clinic admin can change billing. Other team members can open the plans page, but its buttons stay off for them.

Moving to a lower plan

Because you keep what you've paid for, a move down happens at the end of your current billing period:

  1. On the plans page, click Switch to Essentials or Move to Starter on the plan you want.
  2. A confirmation explains that your current plan stays active until the end of the period.
  3. Confirm to schedule the change.

At the end of the period your clinic returns to the free Starter plan. To continue on Essentials, come back to the plans page and choose it then — nothing is charged in the meantime.

Managing your plan

Open Settings and choose Plan & billing to see your billing at a glance: minutes used this period out of your included total, your plan name, the current billing period, and the card on file (shown as the last four digits). Upgrade plan takes you to the plans page.

Cancelling your subscription

You can cancel at any time — from Settings › Plan & billing › Cancel subscription, or from the plans page. Your paid plan stays active for the rest of the period you've already paid for: nothing is cut off mid-period, and you won't be charged again. After that, your clinic moves to the free Starter plan.

Tip: Because access runs to the end of the period, there's no rush to cancel right before a renewal date — you keep what you paid for until that date arrives.

If a payment doesn't go through

If a renewal payment can't be collected, your subscription is treated as past due. Your plan keeps working while the payment is retried, so a single failed charge won't lock you out right away. Contact support to update the card on file.

If a subscription is fully cancelled and not renewed, your clinic returns to the Starter plan — the free scribe and charting in the web app. Your account, notes, charts, and patient data stay intact; the paid volume, the PMS connection and the agents resume when you subscribe again.
